Road Warriors Organize

March 30, 2006

If you spend as much time on the road as I do, you know it’s absolutely critical to employ some organization strategies before you head out the door. Here are some that I use to make business travel less stressful.

Packing. Duplicate all toiletries and make-up. Leave one set at home and another set in your suitcase. Always keep a lint brush and a travel umbrella in your suitcase.  Pack clothing that requires little special case. To the extent you can, pack clothes that easily transition between office and down time. Stay only in hotels that provide bathrobes. (Attention hotel industry: The latter is a huge issue for women business travelers.)

Travel Documents. Carry all important travel information, including itineraries, airplane tickets, hotel confirmations, in one folder. File documents consistent with the order of your trip. At the front of the file, keep a one page listing of all key events, locations, contact people, and phone numbers.

Schedule. Build in sufficient time between appointments to accommodate potential delays. Avoid over-scheduling at all costs. Always carry some work or reading materials for unplanned down time. Try to schedule some personal time to explore any city you visit.

Expense Reports. Use separate credit cards for business and personal expenses. Keep all receipts in envelopes, and create a unique envelope for each client. Record your expenses at the end of each day.
